Privacy Policy

We only collect the information we need, we keep it safe, and we never share it without a good reason. Here's exactly how it works.

A note on young people's data

We work with young people aged 15–25. For anyone under 18, we ask for parental or carer consent before collecting or using their personal data — that's both good practice and a legal requirement. We also recognise that young people of 15 and above have their own rights, and we respect their voice in how their information is handled.

If you're 18 or over, you manage your own consent. If a young person is coming to us through a school or organisation, we'll handle data sharing through our agreement with them.

What information we collect

When you visit our website, we automatically pick up some basic technical information — things like your IP address and browser type. This is standard practice and doesn't identify you personally.

When you get in touch or start working with us, we may collect:

• Your name and contact details

• The young person's name and age

• Background information to help us tailor the coaching

• Session notes (kept securely and not shared without consent)

• Parental consent forms (for under 18s)

• Payment details (processed securely — we never store card numbers)

If we're working with a school or organisation, we may also hold contact details for coordinating staff and basic information about the young people in the programme.

If you sign up to hear from us, we'll keep your name and email address. You can unsubscribe whenever you like.

Why we use your information

We use your information to respond to your enquiry and get you set up, deliver coaching and mentoring sessions, keep young people safe, process payments, send updates and newsletters (only with your consent), improve our programmes over time, and meet our legal obligations.

Sensitive information

Some of what gets shared in coaching can be personal — mental health, family situations, things going on at school or at home. We treat everything like that with real care. If we need to process sensitive personal data, we'll ask for your explicit consent first, and we'll only ever use it to support the young person.

Who we share your information with

We don't sell your data. Ever. We only share it when we have to:

• With schools or organisations we're working with — only what's needed to run the programme

• With safeguarding authorities if we have a genuine concern about a young person's welfare

• With trusted service providers (like payment processors) who are bound by strict data agreements

• When the law requires it

We don't send your data outside the UK without making sure proper safeguards are in place first.

How long we keep your information

Enquiry records (if we never started working together): 12 months from last contact

Coaching and client records: 3 years from the end of the programme

Safeguarding records: At least 7 years, or until the young person turns 25 — whichever is longer

Payment records: 6 years (this is a legal requirement)

Newsletter subscribers: Until you unsubscribe

After those periods, we delete or anonymise your data securely.

Your rights

You have the right to know what data we hold about you, access it, correct it, delete it (in some circumstances), and object to how we use it. Just email hello@believeinpossible.co.uk and we'll come back to you within a month, at no charge.

If you're not happy with how we've handled your data, you can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

Keeping your data safe

We use encrypted, password-protected devices and accounts, secure storage for any physical records, and reputable GDPR-compliant tools and platforms. No online transmission is ever completely risk-free, but we take every reasonable step to protect your information.

Cookies

Our website uses cookies to help it work and to understand how people use it. When you first visit, you'll be asked about non-essential cookies. You can update your preferences at any time through the cookie settings on the site.

Links to other websites

We occasionally link to other sites. We're not responsible for their privacy practices — it's worth checking their policies directly.

Changes to this policy

If we update this policy, we'll change the version number and date below. For significant changes, we'll let existing clients know directly.

Keeping young people safe

Safeguarding isn't just a policy for us — it's the foundation everything else is built on. Every session, every conversation, and every decision we make puts the safety and wellbeing of the young person first.

Suellen Morris is the Designated Safeguarding Lead for Believe in Possible and holds an Enhanced DBS check. Our full Safeguarding and Child Protection Policy is available on request.

Here's what you can expect in practice:

• Sessions take place online, in schools and colleges, or in neutral community settings — we don't transport young people or run residential programmes.

• Coaching conversations are confidential. The exception is if we have a concern about a young person's safety — in that case, we'll involve the right people to make sure they're protected.

• For young people under 18, we involve parents and carers as appropriate, while also respecting the young person's voice and growing independence.

• We work openly and collaboratively with parents, schools, and other organisations — good communication is part of keeping young people safe.
